<tr>
<td>mradcliffe</td>
<td>Retrospective items go here</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>From the mentored contribution room sheets:What went well?* crasx's energy + joy is amazing :) * Workshop was helpful * wifi issues resolved quickly * DrupalPod!!!!! * 2 days gives opportunity for new contributors to become mentors * Greeters guiding people to the tablesWhat could we improve?* Fresh fruit / snacks closer to the contrib rooms (++) * Do a huddle on the second day (forgot after photo) * Concise list of instructions available at tables / docs for DrupalPod * General contrib too far away from mentored contrib * Improve communicating value of contrib. to agency owners so they bring new contributors to DrupalCon * More t-shirts (stickers)(edited)</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Booth: I heard some agreement at the booth that we really enjoyed being next to or a part of the DA Booth.</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>I love when the booth is next the the DA’s or next to the lunch line where we can chat with folks who are waiting to be served</td>
</tr>
<tr>
<td>mradcliffe</td>
<td><a href="https://www.surveymonkey.com/results/SM-8JXujJDAoaIsVffvCvwVWg_3D_3D/instant/">https://www.surveymonkey.com/results/SM-8JXujJDAoaIsVffvCvwVWg_3D_3D/instant/</a></td>
</tr>
<tr>
<td>mradcliffe</td>
<td>There was 1 negative vote for the General Contrib and Mentored Contrib and it would be nice to get anonymized results from that survey for those two items.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Having a planning lead is really important, and I think although we succeeded there was a lot of last moment planning that had to be done because we didn't have 1 person coordinating with Von.</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Yeah even little details we lost track of (eg T-shirts).. we need to make sure we have someone covering the planning and big picture stuff for sure</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>i can share anonymized survey results with you all once our collection period is done</td>
</tr>
<tr>
<td>Matthew Ramir</td>
<td>The smaller group size was helpful. It was easier to work with a couple, but I don't think I could have been as helpful with 5+.</td>
</tr>
<tr>
<td>Matthew Ramir</td>
<td>Also liked the two day split, but I probably would have been down for a whole day contrib event Fri</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>i'm still not totally sold on the two half-day contrib schedule, but i realize organizers were under financial pressure and that was the best option</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>the one thing i'd say is that i was disappointed contrib time was scheduled against bof time, forcing people to choose between one or the other. that's one (other) advantage to having a dedicated contrib day</td>
</tr>
</table>
<h2>1️⃣ 1️⃣ Who attended?</h2>
<table>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>I attended and attempted to help with most mentoring events, I missed booth time because it overlapped with the Community Summit.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I was there and also counting @ekl1773, @shaal , and @rachel_norfolk who helped out from afar.</td>
</tr>
<tr>
<td>Cindy Williams</td>
<td>I was there. Helped out at the booth and in the mentored contrib room.</td>
</tr>
<tr>
<td>Alison</td>
<td>me!</td>
</tr>
<tr>
<td>Amanda Marshall</td>
<td>Me too!</td>
</tr>
<tr>
<td>Renato Gonçalves</td>
<td>I was there. Helped out at the booth and in the mentored contrib room [2]</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Me! Was doing the 1TW and did some time at the booth and generally running around like a headless chicken trying to figure out extra wifi concurrent users and missing T-shirts etc.. good times :)</td>
</tr>
<tr>
<td>Matthew Ramir</td>
<td>Attended. I ended up with two shirts somehow so I guess I am the source of all the problems :upside_down_face:</td>
</tr>
<tr>
<td>Alison</td>
<td>I'm surprised about the shirts comment, I was told there were tons left! Maybe that was the blue ones. (I have an extra blue one :see_no_evil: ) (edited)</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Oh no! I mean there were no mentoring tshirts! Usually there are a specific set of tshirts in another colour that say Mentor on them :slightly_smiling_face:</td>
</tr>
<tr>
<td>Alison</td>
<td>Ohhhhhh!</td>
</tr>
<tr>
<td>Matthew Ramir</td>
<td>Oh! well I ended up with 2 green ones? Shrug</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>my first drupal mentoring in a long while! it was great!</td>
</tr>

<h2>1️⃣ 3️⃣ We had 4+ sponsors for the mentor dinner, we could use another round of social media drafted to thank them.</h2>

<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>I will create an issue this afternoon and plant the link here</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>That's a good number of sponsors!</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>Yes, Supper was ~$800 and it was 100% covered! Very exciting</td>
</tr>
<tr>
<td>Elli Ludwigson</td>
<td>Thank you! Sorry I’ve been signed out of slack, please feel free to dm or @ me a kick in the pants to get tweets out :slightly_smiling_face:</td>

<tr>
<td>Chris Darke</td>
<td>I attended.. commenting.. It was a bit of a late start for the first one, takes people a while to show up.. we also ran another one on the Tuesday afternoon</td>
</tr>
<tr>
<td>Ivan Boothe</td>

<td>Cindy, Renato, Chris, AmyJune, Matthew, Jordana</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>We probably need to update what we have at the booth.. I did feel we were hidden away, didn't get much in the way of walk bys (edited)</td>

<table>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>I was..</td>

<tr>
<td>AmyJune Hineline (volkswagenchick)</td>

</tr>
<tr>
<td>Gregg Marshall</td>
<td>If we can find "reasonable" air fares, Amanda and I will be there</td>

</tr>
<tr>
<td>Andy Blum</td>

</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>HA, not sure what you mean, but nothing is on the site.</td>
</tr>
<tr>
<td>Andy Blum</td>
<td>But there’s not like an announcement of “no restrictions planned”?</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>I haven’t seen anything</td>
</tr>
<tr>
<td>Gregg Marshall</td>
<td>Given the last 2 years, might be too early to know</td>
</tr>
<tr>
<td>Andy Blum</td>
<td>How far in advance were portland’s protocols put into place?</td>
</tr>
<tr>
<td>Andy Blum</td>
<td>Could also be they’re waiting on Kuoni?</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>Yes ^^</td>
</tr>
<tr>
<td>Jordana Fung</td>
<td>I won't be able to attend unfortunately</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Well… I am still planning on attending but keeping to a bubble of some sorts and avoiding the parties where I suspect the highest chance of infection was…</td>
</tr>
<tr>
<td>Jordana Fung</td>
<td>I actually tested positive with PCR test on Monday morning. Before all my antigen self test were negative up to Sunday night when I did test positive. Just got my test results back from the PCR today. It seems a while after the con, but it seems too early for me to have gotten it in the weekend. So idk I feel perfectly fine otherwise besides a mild cough every so often</td>
</tr>
<tr>
<td>Cecilia Levy</td>
<td>Hi everyone, @AmyJune (volkswagenchick) why do you think there's no COVID protocol for Prague? We didn't launch the registrations yet and haven't written anything yet :slightly_smiling_face: But are working on the safest way to welcome everyone to the event. We will strictly follow all regulations given by the Czech Government and the venue at the time of the event and will make our best to make that event the safest as possible (knowing that risk 0 doesn't exist unfortunately ...).I am really hoping to meeting you and everyone in the mentoring team in real life even if I need to try guessing who is who because we only see each other's eyes through the masks :slightly_smiling_face:</td>
</tr>
<tr>
<td>Brian Gilbert</td>
<td>I don't know at this point, colleague has proposed a talk, but COVID risk is still a big potential blocker for me, I've still not had it, and I'd like to keep it that way ideally.. also my passport expired during lockdowns, so I need to get that renewed yet as well (edited)</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>I didn't see anything on the website..and venue and local precautions may change, so it just makes me nervous</td>
</tr>
<tr>
<td>Cecilia Levy</td>
<td>No info (yet written) doesn't mean no protocol though :wink: We didn't post it yet but will do once we launch the registrations. I understand your concerns. Even if venue/government rules change we are taking the situation very seriously and will monitor closely and try to listen to everyone's needs so anyone feel secured enough to join. Of course we will never be able to monitor everyone's moves and I am still convinced (personally) that we are often taking more risks on our daily lives by going to the groceries or taking public transportation... Autumn has been "proven" from the past 2 years to be a lower season of infections, let's hope it continues that way :crossed_fingers: I am happy to continue updating you regularly. (edited)</td>
</tr>
<tr>
<td>Rachel Lawson</td>
<td>I'll be there.</td>
</tr>
<tr>
<td>Gábor Hojtsy (he/him)</td>
<td>I’ll be there. Hungary likely going to has the same or close to the same regulations as the Czech Republic, so it would be similar to using public transport here or going to the movies.</td>
</tr>
<tr>
<td>Rachel Lawson</td>
<td>To be honest, I think I just agreed to a campervan road trip to Prague with a Viking. COVID is likely to feature quite low down on a quick mental risk assessment</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>one thing i appreciated about portland dc is they came up with their procedures a couple months out and kept them in place despite local requirements changing in the meantime. knowing that things weren't going to suddenly change because the state/city had altered rules was a good move.</td>
</tr>
</table>
<h2>2️⃣ 2️⃣ Tasks that need to be done before the event?</h2>
<table>
<tr>
<td>mradcliffe</td>
<td>The contribution event is the previous standard 1 day end of the event day. So we need to plan according to how we run 1-day contribution events.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Task: determine planning leads first so Cecilia Levy knows the point of contact / escalation for getting things done.</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Yeah and lock down what leads we need (eg we need a planning lead determined)</td>
</tr>
<tr>
<td>Cecilia Levy</td>
<td>Indeed the conference is on Tuesday-Thursday (20-22) with Contrib room everyday within the conference and Contrib Day on Friday 23 :slightly_smiling_face: (edited)</td>
</tr>
<tr>
<td>Cecilia Levy</td>
<td>I'll need to know the contacts and the planning for Issue triage, Mentor Orientation(s), First time workshop(s), Mentored Contribution...</td>
</tr>
</table>
<h2>3️⃣ Discover Drupal Mentors. Let’s have a final check in and retrospective.</h2>
<table>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>I had a bit of a discussion with Angie from the DA about:Mentors have access to curriculumFoundational skillsMentor attrition</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>+1 to all of those discussions.</td>
</tr>
<tr>
<td>Alison</td>
<td>Being a DD mentor was a great for me, personally. It was my gateway into mentoring, I wouldn't have done DrupalCon mentored contribution if not for DD. I am grateful to AmyJune and the other leads for making it all happen!</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I made an assumption that your long-time involvement with Drupal, Camp organizing and GovCon meant you were already a mentor to people, @alison.</td>
</tr>
<tr>
<td>Alison</td>
<td>I didn't participate very actively until the last phase. I think I said this during a previous meeting, but (and I'm sure this was at least partially on me) my role / what I could do as a mentor became way more concrete during the last phase. Earlier in the program, I didn't know how to help (again, I'm sure this was at least partially on me!). (edited)</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Same.</td>
</tr>
<tr>
<td>Alison</td>
<td>Ha! That's interesting! I do have prior (volunteer) experience teaching code, and probably the sessions I gave at GovCon had a teaching-y vibe, but I've never (knowingly?) been a mentor before.</td>
</tr>
</table>
<h2>4️⃣ Open floor/other topics</h2>
<table>
<tr>
<td>Kristen Pol</td>
<td>I have created a new community project to encourage contribution events and giving credit to those to contribute to them and am open to co-maintainers: <span class="drupalorg-gitlab-issue-link project-issue-status-info project-issue-status-7"><a href="https://www.drupal.org/project/contribution_events/issues/3280003" title="Status: Closed (fixed)">#3280003: Open to co-maintainers for Contribution Events community project</a></span></td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>Not all events have their own d.o project so this is a way to support them (edited)</td>
</tr>
<tr>
<td>Alison</td>
<td>That's genius!</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>There was a Community events page somewhere on the Community section on d.o. I saw you created that in #bugsmash initiative meeting and wasn't sure if there was some duplication.</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>We should probably create a separate thread on this to discuss :slightly_smiling_face:</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>We had a hard time keeping this up-to-date <a href="https://www.drupal.org/community/mentoring/events">https://www.drupal.org/community/mentoring/events</a></td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>Oh, I misunderstood the open floor... for d10readiness, those open topics get their own threads</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>@mradcliffe Thanks for the link... the goal of the Contribution Events community project isn't currently to track events and market them (though that could be added as a goal)... but rather a place to help document how to organize them (or link off to existing docs) and allow people to create issues to provide credit for these events (edited)</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Thank you</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>Thats rad. Some events have project pages, but def. not all of them. I try to remember to post issue in the mentoring queue, but it is hard to track them all if I don’t attend myself.</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>Yeah, that's the intention... to help those... but not sure it'll be used or not :shrug: I'll advertise it more heavily once I get more feedback across the channels and in the issue queue</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>I had conversations with some business owners who did not see the value in their staff doing contrib.. as part of the mentoring efforts and the general push to contrib it would be good to see some sort of comma from DA about how encouraging contrib will increase profession growth in the staff.. specially with so many companies looking for experienced workers… I think if more companies were encouraging their people to turn up to the mentored contribution that would be great..</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>I can imagine that this project could evolve into more of a marketing/evangelist project as well but, for now, I think keeping it simple to see if it's used, is the goal</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>@mradcliffe Added that link to this issue: <span class="drupalorg-gitlab-issue-link project-issue-status-info project-issue-status-7"><a href="https://www.drupal.org/project/contribution_events/issues/3279808" title="Status: Closed (fixed)">#3279808: Gather existing contribution event marketing channels</a></span></td>

<table>
<tr>
<td>mradcliffe</td>
<td>I know there were a couple of issues worked on at Portland2022 where we were trying to figure this out CC @alison</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Awesome.. I was relying on the existing video for examples of how to work with it but I will need to review if that needs to be updated..</td>
</tr>
<tr>
<td>xjm</td>
<td>The other option that I use when issues are more complex is to have explicitly named MR branches for each branch in the MR, e.g. 1234567-9.4.x, 1234567-9.5.x, 1234567-10.0.x</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>With the eventual move to GitLab Issues, that will be the only option, right?</td>
</tr>
<tr>
<td>xjm</td>
<td>That's nice because you can just cherry-pick no-commit your changes between branches if the issue needs changes. It's less convenient for testing.</td>
</tr>
<tr>

<td>(Thanks for the discussion and share of the #bugsmash thread!)The struggle we ran into during mentored contribution was when trying to use DrupalPod with an issue had been auto-updated to 9.4, and the existing patch/MR branch needed a reroll and it would not apply to 9.4 -- composer install failed. Our "fix" was to manually change the core version on the thread, so drupalpod/composer install could work, and then work on a reroll. I hope I'm making enough sense to make sense.My understanding is that there's nothing to "fix" with this, except some kind of documentation "somewhere" -- d.o or drupalpod or.......</td>
