<p>Mentor Meeting 9 March 2022</p>
<p>This meeting is on 9 March 202 in the #mentoring channel on Drupal Slack at 2000 UTC. This meeting is text-only, no audio or video, and is asynchronous so everyone can join in as they're available for about 24 hours. After that we'll capture notes from the threads.</p>
<p>Please add agenda items by editing this issue summary or commenting below.</p>
<h3>Agenda Notes</h3>
<p>➀ DrupalCon Portland 2022 planning: <a href="https://www.drupal.org/project/mentoring/issues/3248778">https://www.drupal.org/project/mentoring/issues/3248778</a> (issue tag: Portland2022)<br>
Reminder that the DA liaison would love to gauge participation for mentors. Please use the contributor interest form from the website: <a href="https://docs.google.com/forms/d/e/1FAIpQLSdbljO6SzvaLLN_suMFNe5wgCZad3GR9lO3PE7I7bl1sxKjfQ/viewform">https://docs.google.com/forms/d/e/1FAIpQLSdbljO6SzvaLLN_suMFNe5wgCZad3GR9lO3PE7I7bl1sxKjfQ/viewform</a></p>
<p>➀ ➀ Tasks that need to be done before the event:</p>
<p>We identified tasks. See follow-up tasks below.</p>
<p> ➀ ➁ Contribution event leads: Still looking for Communication, Planning, Novice Issue triage, Booth/Supply</p>
<p>Confirmed several leads. Thank you to @markie, @renatog, @ekl1773, and @rachel_norfolk for volunteering today.</p>

<p>➀ ➃ What ideas do people have about mentoring whilst maintaining Covid safety? We can’t exactly be leaning over each other etc. What procedures, processes, standards should we be thinking about?</p>
<p>- Suggestion to use Slack Huddle or other screenshare to reduce over-the-shoulder contact.<br>
- Have printout of contribution safety guidelines at each table.<br>
- Reminder that DrupalCon will be mask-required even if Portland and Oregon are mask-optional.</p>
<p>➀ ➄ Ideas for Post-Mentored Contribution Mentor Thank You that we can feel safe (not crowding into a restaurant), but not where we will get rained on. Catered food cart? The traditional dinner is a paid social event for mentors. Trivia night is after Mentored Contribution event.</p>
<p>@rootwork offered several suggestions depending on how mobile mentors are for the event.<br>
Most-likely suggestion is to find a food cart to cater to us.<br>
@Kristen Pol mentioned budget was higher in previous years</p>
<p>➁ Drupal Dev Days, April 4-8, (<a href="https://drupalcamp.be/en/drupal-dev-days-2022/contribute">https://drupalcamp.be/en/drupal-dev-days-2022/contribute</a>) planning?</p>

<p>➂ Drupal Camp Florida was Feb 18-20 with contrib day being Sunday Feb 20. How did that go?</p>
<p>20-30 people attended contribution day. @volkswagenchick mentored 3 contributors and showed some more contributors our tooling.</p>
<p>➃ Discover Drupal Mentors. Let's check in.</p>
<p>Consensus about time commitment and that office hours has been working fairly well.</p>
<p>➄ Open floor/other topics</p>
<p>Ask for mentors to review <span class="drupalorg-gitlab-issue-link project-issue-status-info project-issue-status-1"><a href="https://www.drupal.org/project/drupal_org_community/issues/3267305" title="Status: Active">#3267305: Simplify developers entry path to Drupal core code contribution</a></span> which is the issue that @gambry brought up in #mentoring and created the issue for.</p>

<table>
<tr>
<td>mradcliffe</td>
<td>Please add any additional tasks.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>@vonreyes, do you have any additional tasks?</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>For all mentors that have expressed interest via drupalcon web site or the drupalcontributions web site, we need to submit a volunteer agreement. We can send an email to mentors to do this once we have a link to that agreement and we will probably need the link at DrupalCon as we often get mentors signing up during the event, @vonreyes.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I'm not sure how we're doing on supplies, @gregg_marshall, @amarshall, but do you need any supplies or need to confirm anything with Von?</td>
</tr>
<tr>
<td>Gregg Marshall</td>
<td>In general the consumables used on a traditional contribution day are stick on name badges and Sharpie/equivalent pens for them. Plus a couple of tables for people to write their names on the badge(s) to allow for social distancing. I had suggested that flowchart as a banner in case we're light on greeters to tell people where to go. There used to be stickers and/or cards, but I don't think those are critical and most people don't pick them up.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>The flow chart Gabor initially made, right?</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Task: Send @vonreyes the flowchart to enlarge print out and an easel that it can be placed on.</td>
</tr>
<tr>
<td>Gregg Marshall</td>
<td>I assume it was from Gabor, I just remember seeing it at Amsterdam and thinking what a great visual tool when greeting gets swamped. I'll send the PDF I have to Von</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Can you post on the planning issue about that as well <span class="drupalorg-gitlab-issue-link project-issue-status-info project-issue-status-7"><a href="https://www.drupal.org/project/mentoring/issues/3248778" title="Status: Closed (fixed)">#3248778: [META] Plan Mentoring at DrupalCon Portland 2022</a></span>?</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>y’all are already on it! i just needed a supply list that i can order</td>
</tr>
<tr>
<td>Gregg Marshall</td>
<td>Done, both emailed and posted in issue.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Task: We need to update /tools for DrupalPod. CC: @briangilbert (realityloop) (he/him)</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>@Chris Darke mentioned he was going to help with that last task as well.</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>i did receive the flow chart in my email, thank you! i’m just a little confused about how it works. the mentored contrib room is one dedicated room with tables set up in rounds. is the flow chart meant to show people which tables to go to depending on their needs?</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Yes. If the person has an environment/familiar with Drupal core they can go directly to a table, but if they're first-time or need help with an environment, then first-time workshop. The flow chart may be out-of-date with how Portland 2022 is run though.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>And also if a person doesn't need a mentor, then they're going directly to a general contribution table</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>got it, okay so it’ll go outside the door. maybe we can find a time to get together and update and i can share the OCC layout with you all.</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>alternatively, i can get it situated with our logistics team myself since i basically have the OCC memorized at this point</td>
</tr>
<tr>
<td>Brian Gilbert</td>
<td>there was some discussion by @gambry about updating this documentation in the Slack recently, I'll touch base and see what he was doing there</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>There's an issue that's in the /community project about it.</td>
</tr>
<tr>
<td>Matthew Ramir</td>
<td>The documentation side of things I am trying to spend some time on here and there. @gambry made an issue to track this - [#3267305]Should be able to make some decent progress on this over the next couple of weeks. Is there anything we should prioritize beyond the drupalpod stuff?</td>
</tr>
<tr>
<td>gambry</td>
<td>Hi folk, let’s continue the core contributor entry path conversation in the documentation issue, although the “In a nuthsell” bulletpoints in DrupalPod documentation looks already great (but haven’t tried it yet).</td>
</tr>

<td>I would be into that.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>That would be amazing.</td>

<tr>

Or are there leaders designated to lead others under their specified group?</td>
</tr>
<tr>
<td>Leslie Glynn</td>
<td>Checked in to keep up with DrupalCon Portland plans. I will be mentoring folks helping out with the Project Browser Initiative.</td>
</tr>
<tr>
<td>Caleb Crawley</td>
<td>Since this will be my first time Mentoring, I think I would be a good fit for the First Time Contributors section with my recent work with Drupal Association. Im a bit reluctant to sign up for a Leadership role, especially being unsure what each role consists of.If I don't sign up as a lead (not saying I couldn't lead if I found something I'm qualified to do), does it mean that I wont be mentoring? Or are there leaders designated to lead others under their specified group? @mradcliffe (edited)</td>
</tr>
<tr>
<td>Caleb Crawley</td>
<td>@here is anyone available to lend some info to my question? @monicadear (she/her/hers) Washington DC - use this (edited)</td>
</tr>
<tr>
<td>Elli Ludwigson</td>
<td>Hi Caleb! You can definitely mentor without being a lead :slightly_smiling_face: Those lead positions are especially to make sure someone will be an owner/accountable for making certain things happen (eg finding what’s needed for the booth and arranging who will be in it.). One of our goals is to find deputy leads, so someone can be “in training” as a lead and potentially take over in the future. Is there an area that sounds especially interesting to you? Otherwise general purpose mentors are very welcome to float during contribution time and assist new contributors as needed. We also have mentor orientation time during the DrupalCon week to ensure folks have the basic resources needed to be a mentor (which often amounts to, you don’t need to know all the things, just how to find out about the things. So, being able to navigate drupal.org for instance.).</td>
</tr>
<tr>
<td>Elli Ludwigson</td>
<td>Ah, for first time contributors workshop in particular it’s very useful to have a handful of mentors available for troubleshooting individual contributors setup during the workshop. I’d have to defer to @Chris Darke who will be leading on that for the details this year but I’m certain you’d be welcome to help there.</td>
</tr>
<tr>
<td>Caleb Crawley</td>
<td>Yes I am interested in being "in-training", leading in the future sounds good to me.Thanks for all your help. I believe I would be able to help others with set up and troubleshooting, as I have been making contributions to the drupal project as well @ekl1773</td>
</tr>
<tr>
<td>Caleb Crawley</td>
<td>@Chris Darke Nice to meet you, let me know if & how I can help</td>
</tr>
<tr>
<td>Elli Ludwigson</td>
<td>Awesome! I think you’re on the right track, so long as you’re registered and signed up etc you should be good to go. We’ll have another Slack meeting on March 23rd at 20:00UTC, that’ll be a good time to check in for more details too :smile:</td>
</tr>
<tr>
<td>Caleb Crawley</td>
<td>Cool</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Hi @Caleb Crawley good to meet you, yes we always appreciate having some more people around to help field questions while the session is going on. In general in the past when I have been helping out its basically about a) getting acquainted with the processes and tools that we will be presenting, and b) just being proactive and spotting if someone is looking for some help, or fielding questions back to the speaker. I am pretty sure we will have some informal chats during the start of the conference with those helping out to cover the basics.</td>
</tr>
<tr>
<td>Renato Gonçalves</td>
<td>@mradcliffeBooth leads (4/26/2022 only + keep track of Mentor Supply box):I’ll be there on this day. Just to confirm with you; until what time should we stay there on this day?</td>

<h2>1️⃣ 4️⃣ What ideas do people have about mentoring whilst maintaining Covid safety? We can’t exactly be leaning over each other etc. What procedures, processes, standards should we be thinking about?</h2>

<tr>
<td>mradcliffe</td>
<td>Creating a topic on the OpenSocial site about Covid safety to refer each other to would be nice.</td>
</tr>
<tr>
<td>Mark Casias</td>
<td>I wonder what the set up is going to be like.. should mentors wear masks?</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Yes, everyone will need to wear masks per DrupalCon / Convention Center policy.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Would having a print out on each table with guidelines help?</td>
</tr>
<tr>
<td>Mark Casias</td>
<td>probably a good idea..</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>During Florida camp, I was at a table with mentees and instead of leaning over one another we shared screens</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>we will have the COVID 19 policy on boards throughout the convention center as well!</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>We have to get good at protecting ourselves</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I was thinking about Slack Huddle for sharing screens. Hopefully the network handles that.</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>If there is going to be some sort of table level screen sharing or chat it would be good to decide on that and then can print out a link to it</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Derp right..</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Although I don't see the huddle button in our Slack anymore</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>Just making sure @mradcliffe and others - are we sure the Oregon Convention Center will still have mask mandates by the time of the event? (Oregon like most states is dropping the statewide mandate between now and then.) If they don't have a mandate, would DC institute one anyway, or just match whatever the convention center says?</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>i can’t speak to the mandates or what will happen in the future but i can say that we have no plans to change our covid safety policy at the present time</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>OK -- so just to be clear, DC's current plan is to have a mandate even if the venue/city/state doesn't have one</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>yep, that's correct. if anything changes we will be sure to very publicly communicate.</td>
</tr>

<td>Rachel Lawson</td>
<td>Indeed. Start on sponsors soon!</td>
</tr>
<tr>
<td>Rachel Lawson</td>
<td>(We have been asked not to in years past but I think okay now)</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I think our budget in the past has been < 300 USD</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>is this in reference to on-site at drupalcon? apologies for not knowing the historical context! as always, i’m learning as i go :)</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>We usually pick a restaurant accessible for mentors to hang out after the contribution event.</td>
</tr>
<tr>
<td>Rachel Lawson</td>
<td>Yeah. A way of saying thank you</td>
</tr>
<tr>
<td>Rachel Lawson</td>
<td>Basically, it's where “all the cool kids” are at the end of DrupalCon</td>
</tr>
<tr>
<td>Von R. Eaton</td>
<td>ahhhh i see! love that. is this something you all plan separately from the DA?</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Yes.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>@rootwork, do you have an ideas either for a restaurant that would be safe for mentors to do a post-contrib dinner or another idea being familiar with the area?</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>From what I remember sponsoring years ago it was more than $1k but there were a lot of mentors and the restaurant had a minimum</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>Is the convention center/DC giving people transit passes? (I might be confused but I seem to remember that from the last Portland one.) If so it opens up a lot more opportunities - the convention center is right on two accessible light rail lines.</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>Unfortunately the area right around the CC does not have a lot of great options - the only really close one (across the street) is a small-ish bar (Spirit of 77) and a few blocks away are chain restaurants (Red Robin, Denny's). Bizarrely in my opinion the city's food cart culture is nowhere apparent near the CC, even though there are plenty of plazas in which to sit and eat assuming nice weather.</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>So if we could take the train then there are lots more options west (downtown) and south (central eastside). Some of those options are semi-walkable with time but that doesn't make them very accessible. (Further away from the CC, not all the sidewalks are completely accessible either.)</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>Oh the only other thing is there is one new hotel, Hyatt Regency, right across the street, and three others, Courtyard by Marriott, DoubleTree Hilton, and CrownePlaza, that are a few blocks away. They might have restaurants inside of them.</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>In my opinion catered food cart is not a bad option, tho of course then we have to make sure dietary needs are met.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Thank you for writing that up. The last time I think we made our way fairly far away from the CC.</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>If we do decide to venture more than a couple of blocks and don't expect to have transit passes, I can scout out the route to whatever we choose for accessibility on my bike. I work very close to the CC (I can see it outside my window right now).</td>

<td>Showed another few people tooling</td>

<td>There were some hiccups because Drupal updated PHP and druse wasn’t up-to-date or something like that but we managed</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Thank you for sharing.</td>
</tr>
<tr>
<td>Mark Casias</td>
<td>sorry I had to leave before contribution... should have stayed an extra night..</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>@AmyJune (volkswagenchick) Do you know if the issue was fixed yet?</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>Yes</td>
</tr>
<tr>
<td>Matthew Ramir</td>
<td>That was a super helpful day for me, got a small taste of what drupalcon will be like. looking forward to it!</td>

<td>Aikaterine has two slack users so I'm not sure which to ping.</td>

<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>I think it’s going pretty well, tomorrow we’re gonna tie everything together that we’ve learned and contribute to a read me on the project browser initiative.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>It seems like the Project Browser office hours is working fairly well for those who are taking advantage ofi t.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I've had some trouble remembering the Tuesday office hours.</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>I'm curious how much commitment this has been for mentors</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>For me, only a few hours per week. There weren't many questions in the first part of the program until the contribution project</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>A couple per week at the beginning of the program. But now they’re in the contribution phase and it’s been three or four a week, but I’m doing more coordination and follow ups and setting up events as well. A little bit more admin work now that there on their final project</td>
</tr>
<tr>
<td>Alison</td>
<td>^^ Similarly, I didn't find there was much to do until recently, it wasn't even a couple hours per week -- definitely possible (likely?) that's on me, but the last three weeks I've spent 1-3 hours per week.</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>Thank you all for the feedback</td>

<td>There was some discussion about getting our documentation in order not just as mentors, but for novice contributors across drupal.org (and OpenSocial).</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>Thank you, @gambry, for creating the issue.</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I think as mentors and specifically for DrupalCon our first task is to get the /tools page up-to-date. I'll add a task in the task thread.</td>
</tr>
<tr>
<td>Chris Darke</td>
<td>Yeah it's a bit of a disconnected beast right now.. I would certainly be glad to help out!</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I think the big issue is that we experienced contributors may not be as aware of where to go. Like the Contributor Guide.</td>
</tr>
<tr>
<td>AmyJune Hineline (volkswagenchick)</td>
<td>Should we change the frequency of meetings? Now that the conference is getting closer?</td>
</tr>
<tr>
<td>mradcliffe</td>
<td>I think we should. We're 1.5 months out so that would leave only 1 more meeting and we could fit 3 more check-ins.</td>
</tr>
<tr>
<td>Kristen Pol</td>
<td>I'm interested in any remote contribution events coming up as we are still locked down… maybe once the antivirals are more readily available that will change</td>
</tr>
<tr>
<td>Brian Gilbert</td>
<td>Also happy to help with this, I see it as being related to /tools update</td>
</tr>
<tr>
<td>Ivan Boothe</td>
<td>I 100% support this (I've been confused myself working on some core issues), especially including DrupalPod on the tooling page. I also wonder if it might be worth having some of the first-time contributors at DC do a kind of "user testing" of whatever we come up with, so we could get feedback on it and continue to improve.</td>
</tr>
<tr>
<td>gambry</td>
<td>@rootwork that is a brilliant idea.</td>
