DrupalCon NA 2022 - In person mentoring meeting

These are dedicated contrib times, no overlap.<br> - How many leads are planning to attend?<br> -- aiming for 4-6?<br> - How will we communicate and encourage mentor signups? Design a plan here with Von. Tell folks we need help or this wont happen.<br> -- TODO will email folks on OpenSocial to promote (Rachel?)<br> -- Maybe some sponsors will send folks to help mentor?<br> -- Encourage speakers to mentor!<br> -- Message general volunteer list to encourage more to mentor (Von)<br> -- DA email to all re "Global contrib weekend is in 4 days, if you're thinking about DrupalCon join this for practice" (or something)<br> - How many additional mentors might volunteer? (can we set a deadline for this)<br> - Of mentoring team available, what do those people feel is their capacity?<br> - Space needs: there are outdoor areas, but not official spaces. We can pull chairs from tables, have screen shares per table, etc.<br> - What's happening with general contribution? Are they doing hybrid or ...?<br> - Things done in person: First time workshop, mentor orientation, welcoming people/mentored contrib space - these are critical places we need live humans. Without these people we're a no go.<br> -- Need leads to run workshops (there are 2 slots)<br> -- Need lead to run mentor orientation (BoF)<br> -- Leads to organize/lead mentored space<br> -- Additional mentors to work with mentored contribs<br> -- Booth duty? Locate next to DA so they can help out directing folks</p> <p><strong>TODO</strong> (some of this will move to the <a href="https://www.drupal.org/project/mentoring/issues/3248778">main event task</a>):<br> - Contact known long time mentors to establish attendance estimates (Elli will try to do this)<br> -- @ channel before our next Slack meeting Feb 9 (Tim)<br> -- "If you're an experienced contributor or mentor we could _really_ use your help at DrupalCon Portland! There are lots of folks registering for the conference who will need help getting started with contributions. Please join the async planning meeting here in Slack in x hours."<br> -- Make sure anyone who's volunteering as a lead fills out volunteer form (8 hours= ticket)/ email Von<br> - Update contribution materials for onboarding regardless, video etc: will ask Offer to update DrupalPod materials and we'll use that. (Brian will do this) (Chris will update any video assets).<br> -- Materials will talk merge requests, not patches. Simplify.<br> - Update booth slide deck asset for any channel (social, booth, etc) info sharing<br> - Draft Discover Drupal students as new mentors (AmyJune?) a cool opportunity for them<br> - Email everyone who came to the mentor summit or had a mentor tag at virtual events (Rachel)<br> - Further explore and plan out hybrid event options as above: some aspects local, some available remote (screen share with DrupalPod, chat with Slack).<br> -- Von: mostly not possible, but maybe encourage post-event remote options?<br> -- DrupalCon org effort will not include OpenSocial, so would be separate effort<br> -- messaging: mentored contribution is in person only<br> - we will *not* be using BigBlueButton, but may (?) use opensocial to organize groups and point people in the right spaces. (Gabor is the person to chase down general contrib topics etc. Rachel will reach out)<br> - Mentor lead roles cut down and tidied up in planning task (Elli)<br> -- Von will work on messaging for contribution pathway at the conference. "Things have changed in the last two years!
